Just to clarify ....... the list (LRSN TAFEWA Cataloguing and Support Staff Contact List) I had added on a previous post contains staff who catalogue resources, as well as staff who assist the cataloguers, and also staff who add short records to Voyager (eg. acquisition staff).

Cat service

Just to let you know that my cataloguing activities will cease at the end of next week. All stuff received after Wednesday next week will be sent back to you after 12th January.

Relinking of Holding/s courtesy emails

If you have relinked another College's Holding/s records from one BIB record to another BIB record, then as a matter of courtesy please send an email to the cataloguing contact staff of the college/s affected by your relinking. Please see the previous posting for the contacts list.

In this email state that you have relinked their holdings, quote the BIB number of the record the Holding/s was/were attached to, and the BIB number they are now attached to. The email should contain ....

In the subject field: Notice of relinking holdings
CC to Michael Targowski (michael.targowski@swantafe.wa.edu.au)
In the body of the email ....

Please be advised that your holding/s attached to BIB record number [insert BIB record number of the old record]
has been relinked to BIB record number [insert BIB record number of the new record]

RDA (Resource Description and Access)

This email came through on the RDA discussion list [rdaaust] and I thought it might be of interest to you. Being that RDA will eventually replace AACR2, it wouldn't hurt to learn a little about it and comment if you so desire.

If you have any comments about the full draft of RDA that you would like included in the Australian response, please forward them to Deirdre Kiorgaard (dkiorgaa@nla.gov.au), the Australian delegate to the Joint Steering Committee for the Development of RDA, by December 15.

For those of you who are planning to look at the draft but aren't sure where to start, you may find it useful to read either the Introduction to the draft or the RDA Prospectus (http://www.collectionscanada.gc.ca/jsc/rdaprospectus.html)

Item Statistical Categories with scope notes

The list of Item Statistical Categories (which are set in the Item record) was quite long, and the decision was made to only use Item Statistical Categories that were like a physical material, eg. book, audiocassette, CD - spoken word, etc.

Then it was decided to have scope notes for each category, so it is easier for users to decide on which category to use. These scope notes were approved for use.

PO Short Records

PO SHORT RECORD is used when an item has been withdrawn, so the item record and possibly the Holding record is deleted. But the BIB (and possibly a Holding) record can not be deleted because it has a Purchase Order (PO) attached. These records need to be shortened and suppressed. According to the LRSN Cataloguing Procedures (v3.6) ....


PO SHORT RECORD: records

If you have a BIB record that has a purchase order (PO) attached, it currently can NOT be deleted. This record might have holding record attached, or the Holding (with item record/s) added to another full BIB record.

Add PO SHORT RECORD: in front of the title. ALWAYS type the words PO SHORT RECORD : before the title, with the title in sentence case,

eg. PO SHORT RECORD : The beginner’s cookbook.

NOTE: Remember to change Indicator 2 (I2) to 0, if the title had started with The, An or A.

In the Holdings record in subfield x, add a note explaining that you can’t delete the record, eg. “PO attached, can not delete the record.” Or “Item withdrawn, [and the date].” Also remove the h subfield.


NOTE: These records MUST be suppressed from the OPAC.


The minimum requirements for a short entry are to be followed, retain tags 020/022, 245, 250, 260 and add tag 590 – for full details on short BIB records see page 20 of the LRSN Cataloguing Procedures (v3.6).

Welcome to your blog.

The aim of the blog is to post any information that is pertinent to cataloguing. When any decisions are made by the LRSN Cataloguing subcommittee they will be also be posted to this blog together with the know how. If there is anything that arises cataloguing wise, you will be notified via this blog.

This is your forum for letting everbody in the TAFEWA sector know what is happening in cataloguing.
